Because care goes into every jar, we take returns seriously — and mindfully.
At Pancha Creations, each product is made in small batches using high-potency herbs, heritage formulas, and nourishing ingredients. Because our items are handcrafted for both internal and external use — and are sensitive to heat, moisture, and contamination — we uphold a careful return and refund policy to protect both product integrity and customer safety.
Limiting unnecessary returns also helps reduce product waste and supports our long-term commitment to sustainability, integrity, and care for both people and planet.
We kindly ask that you review this policy before placing an order. This policy is subject to our Terms & Conditions and should be read alongside our Shipping Policy.
1. Order Cancellations
If you need to cancel an order, please contact us at info@panchacreations.com as soon as possible — ideally within 24 hours of placing your order.
We will do our best to accommodate cancellation requests received within 24 hours, provided the order has not yet entered processing or fulfillment. Once an order has begun processing, it cannot be canceled.
If your cancellation is confirmed before processing begins, a full refund will be issued to your original payment method. Please allow 5–10 business days for the refund to appear on your statement, depending on your bank or card issuer.
2. Return Eligibility
We evaluate return requests on a case-by-case basis. You may request a return only on unused, unopened items within 15 days of delivery. However, because our products are small-batch and food-grade, and because we are a small business, we reserve the right to respectfully decline return requests — especially where product safety, handling, or condition cannot be verified.
Please contact us at info@panchacreations.com before sending anything back. Do not ship a return without prior approval — unapproved returns will not be accepted or refunded.
3. Non-Returnable Items
Due to the nature of our small-batch, food-grade products, we cannot accept returns of:
- Any item that has been opened, used, or tampered with
- Sale or discounted items — all sale purchases are final
- Gift cards or promotional items
We do not offer exchanges (swapping one product for a different product). Approved claims for damaged or defective items are handled through replacement of the same product or a refund, at our discretion.
We appreciate your understanding that this policy is not only about business — it’s about health, safety, and respect for what we create.
4. Damaged or Defective Items
If your order arrives damaged, defective, or otherwise compromised, please email us at info@panchacreations.com within 48 hours of delivery with the following:
- Your order number
- Clear, unedited photos of the damaged item(s)
- Clear, unedited photos of the shipping box and packaging
- A brief description of the issue
We will review your claim and respond within 1–2 business days. If approved, we will offer a replacement of the same product or a refund to your original payment method, at our discretion.
For approved claims, we will determine on a case-by-case basis whether the product needs to be returned or not. In many cases — particularly for food-grade items — we may not require the product to be shipped back. If we do request a return, we will provide instructions and cover the return shipping cost.
Please note: all photos and documentation submitted with a claim must be original and unaltered. We reserve the right to request additional documentation or to decline claims where the evidence provided is insufficient, inconsistent, or cannot be verified.
Natural variations in color, texture, or aroma are expected with handcrafted herbal products and are not considered defects. These variations reflect the care, seasonality, and authenticity of our small-batch process.
5. Local Pickup Orders
For orders picked up via Harbor Lockers, the same return and refund policies apply. If you experience an issue with a local pickup order, please email us at info@panchacreations.com within 48 hours of pickup with photos and your order number.
If a return is approved and the product needs to be sent back, it should be shipped to our address using the instructions provided. Do not return items directly to a Harbor Locker location.
Unclaimed Orders: Local pickup orders must be retrieved within 3 calendar days of the pickup notification. If an order is not picked up within this window, it will be removed from the locker and returned to Pancha Creations. A refund will be issued to your original payment method, minus any applicable fees. Pancha Creations is not responsible for orders that go unclaimed past the 3-day pickup window.
6. Lost or Missing Orders
If your tracking shows a delivery you didn’t receive, or your package appears to be significantly delayed:
- Check the tracking link provided in your shipping confirmation email for the most current status
- Check your delivery area — packages are sometimes left with neighbors, at side doors, or in building mailrooms
- If marked as delivered but not received, contact your local carrier or post office directly, as they can often locate the package or provide additional information
If the carrier confirms the package is lost, please contact us at info@panchacreations.com with your order number and any communication from the carrier. We will work with you to determine the best resolution, which may include reshipping the order or issuing a refund at our discretion.
While we are not responsible for carrier delays or delivery issues once a package leaves our hands, we are committed to helping resolve the situation wherever possible.
7. Return Shipping
If your return is approved and we determine the product needs to be sent back:
For defective or incorrectly shipped items, Pancha Creations will cover the cost of return shipping and provide instructions.
For all other approved returns (unused, unopened items within the return window), you will be responsible for return shipping costs.
Original shipping fees are non-refundable.
We strongly recommend using a trackable shipping method — we cannot guarantee receipt of untracked returns and are not responsible for items lost in return transit.
Do not ship a return without prior written approval. Unapproved returns will not be processed or refunded.
8. Refund Process
Once your return request is received — and, if applicable, the returned product inspected — you will receive an email confirming whether your refund has been approved or denied.
Approved refunds are processed to your original payment method within 5–10 business days of approval. Additional time may be required by your bank or card issuer for the credit to appear on your statement.
If you haven’t received your refund within the expected timeframe, please first check with your bank or card provider. If the issue persists, contact us at info@panchacreations.com and we’ll help resolve it.
Partial refunds may be issued at the Company’s discretion for orders where only some items are affected.
